Experiential Manager
Position Overview:
We are seeking a dynamic and detail-oriented Experiential Manager to join our Marketing Department. This role is pivotal in orchestrating both internal events and XTEL's participation in industry events worldwide. The ideal candidate will be responsible for planning, executing, and overseeing all aspects of event logistics, at a global level, to ensure seamless operations and impactful experiences that align with XTEL's brand and business objectives. A key component of this role is to create memorable and valuable attendee experiences, ensuring every participant receives exceptional engagement and value throughout each event journey.
Key Responsibilities:
Event Planning and Coordination:
- Develop comprehensive event plans for XTEL customer/ corporate meetings, and individual customer workshops, ensuring alignment with company goals.
- Coordinate XTEL's participation in industry events, trade shows, and conferences, managing all logistical aspects from registration to execution.
- Collaborate with cross-functional teams (sales, customer success, marketing, travel) to define event objectives, themes, deliverables, and strategies to optimize the attendee experience.
Logistics Management:
- Oversee venue selection, catering, transportation, accommodation, and other logistical requirements for events, with a focus on creating an inviting and seamless environment for attendees..
- Manage vendor relationships, negotiate contracts, and ensure services meet quality and budgetary standards.
- Develop and maintain detailed event timelines, checklists, and budgets.
Strategy, Marketing and Branding:
- Create and execute innovative and impactful strategies to drive XTEL’s visibility, while maintaining branding and messaging consistency across all event materials.
- Coordinate the selection, design and production of marketing collateral, signage, and promotional materials for events.
- Implement strategies to maximize event visibility and engagement, and overall attendee satisfaction through digital and traditional marketing channels.
On- and Off-Site Event Management:
- Coordinate with staff, speakers, and participants to facilitate a positive event experience.
- Lead event execution, including setup and take down, and troubleshooting to ensure smooth operations.
- Conduct post-event evaluations to assess outcomes and identify areas for improvement.
Budgeting and Financial Oversight:
- Prepare and manage event budgets, ensuring cost-effectiveness and alignment with financial goals.
- Track expenses and provide detailed financial reports to stakeholders.
Relationship Building:
- Foster strong relationships with industry partners, sponsors, and stakeholders to enhance event opportunities.
- Act as the primary point of contact for all event-related inquiries and communications, ensuring a high-quality, personalized experience for all attendees.
Qualifications:
- Proven experience in event management and logistics coordination, preferably within the technology sector, across multiple countries.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent internal and external communication and negotiation skills.
- Great attention to detail, ability to work under pressure and adapt to changing circumstances.
- Creativity and a track record of enhancing attendee experience is a significant plus.
